1. Who we are

ComplySite ("we", "us", "our") provides a subcontractor compliance tracking platform for Australian builders. This policy explains how we collect, use, store, and protect personal information.

2. What we collect

  • From builders (company users): name, email, phone, company name, ABN, billing/payment information
  • From subcontractors: name, phone, email, trade type, and compliance documents they upload (e.g. White Card, insurance certificates, trade licences, and where applicable, National Police Certificates)
  • Automatically: basic usage data (login activity, device/browser information) for security and service improvement

3. Website Analytics

When you visit our public website, we automatically log basic visit information for the purpose of understanding site usage and improving our website. This includes the page viewed, the date and time of the visit, the referring website (if any), your general geographic region (such as state or city, derived from your network connection), and device type (e.g. desktop or mobile). We do not collect or store your IP address, and this information cannot be used to identify you personally. This data is stored securely and is not shared with third parties.

4. Referral Partner Program

If you sign up as a Referral Partner, we collect your name, email address, and/or phone number, and — once you begin receiving commission — your bank account details (BSB, account number, account name) and ABN. We use this information only to identify you as a partner, track referrals attributed to your unique link, calculate commission owing, and pay it to you. We do not share this information with third parties.

5. Sensitive information

Some documents subcontractors upload — particularly police checks — are classified as sensitive information under the Privacy Act, which requires a higher standard of care than ordinary personal information. We:

  • Only collect this where a builder has configured it as a required document for a specific project
  • Store it with the same security controls as all uploaded documents (see Section 6)
  • Do not use it for any purpose beyond the compliance-tracking function a subcontractor has been informed of

6. How and why we use information

  • To operate the compliance tracking service (matching subcontractors to projects, tracking document expiry, sending reminders)
  • To allow a builder to view the compliance status of their own subcontractors
  • To process payments and manage subscriptions
  • To communicate with users about their account or the service
  • We do not sell personal information, and we do not use subcontractor documents for any purpose beyond the service a builder has requested

7. How we store and protect information

  • Documents and data are stored using Supabase infrastructure, hosted in the Sydney (Australia) region
  • Access is restricted so that only the relevant builder (and the specific subcontractor's own upload session) can view a given subcontractor's documents — one company can never see another company's data

8. Overseas disclosure

Some service providers we use (e.g. email and SMS delivery) may process data outside Australia. Where this occurs, we take reasonable steps to ensure it's handled to a standard consistent with the Australian Privacy Principles.

9. Data breach notification

In the event of a data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.

10. Access and correction

11. Retention

We retain personal information, including uploaded compliance documents, for up to 12 months after a document expires or a subcontractor becomes inactive, and for 90 days after account cancellation, after which it is securely deleted. This allows for a reasonable audit/dispute window while ensuring we don't retain sensitive third-party documents longer than necessary once they're no longer needed.

13. Changes to this policy

We may update this policy from time to time. Material changes will be notified to users via email or an in-app notice.
